Privacy Policy

Last updated: 1 September 2026

Speak to Quote ("we", "us", "our") provides a web application that turns a spoken job description into a structured, priced quote. This policy explains what personal data we collect when you use the app at this website, why we collect it, who we share it with, and the choices and rights you have. It applies to everyone who creates an account, whether on the free-access list or a paid Starter/Pro subscription.

If anything here is unclear, contact us at speechtoquote@gmail.com — see "Contact us" below.

1. Who is responsible for your data

Speak to Quote is the data controller for the personal data described in this policy. You can reach us at speechtoquote@gmail.com for any privacy question, request, or complaint.

2. What we collect, and why

Account information

Business details you enter

Voice recordings and job descriptions

Quotes and usage data

Payment and subscription information

3. Who we share data with

We don't sell your data. We share the minimum necessary with the service providers that make the app work:

WhoWhat they receiveWhy
Google Firebase / Google Cloud Account credentials, business details, quotes, usage data Authentication, database, hosting, and the server-side functions the app runs on
Anthropic (Claude AI) The text of your spoken/typed job description and line items To extract structured, priced line items from your description
Stripe, Inc. Email address, payment details, subscription/billing history To process subscription payments and manage your billing portal

These providers may process data on servers outside the United Kingdom, including in the United States. Where that happens, we rely on the safeguards each provider offers (such as Standard Contractual Clauses) to keep your data protected to UK standards.

We may also disclose data if required to by law, or to protect the rights, property, or safety of Speak to Quote, our users, or others.

4. Cookies and local storage

We don't use advertising or tracking cookies. The app stores a small amount of data in your browser's local storage/IndexedDB to keep you signed in and to cache your business settings and quotes for faster, more reliable access — this data stays on your device and is cleared if you clear your browser's site data. If you're redirected to Stripe to check out or manage billing, Stripe's own site may set its own cookies, governed by Stripe's privacy policy.

5. How long we keep your data

We keep your account, business details, and quote history for as long as your account is active. If you delete your account or ask us to, we'll delete your data within a reasonable time, except where we're required to keep certain billing records for longer to meet our legal and tax obligations (typically up to 6 years for financial records).

6. Cancelling your subscription

You can cancel a Starter or Pro subscription at any time, in one click, with no need to call or email us: sign in, go to Account settings, and use "Manage billing & cancel subscription" under the Subscription section. This takes you to Stripe's secure billing portal, where cancelling takes effect at the end of your current billing period unless the portal tells you otherwise — you keep access you've already paid for.

If you're an EU consumer, you also have a statutory 14-day right to withdraw from this contract without giving any reason, starting from the day you subscribe (this includes time spent on a free trial). If you withdraw before using the service, you won't be charged; if you've already used it, we may charge a proportionate amount for what you used. To withdraw, use the same "Manage billing & cancel subscription" option above, or email speechtoquote@gmail.com and we'll acknowledge and action your request promptly. This is in addition to your ability to cancel the ongoing subscription at any time as described above.

7. Your rights

Under UK GDPR, you have the right to:

To exercise any of these rights, email speechtoquote@gmail.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk if you believe we haven't handled your data properly.

8. Security

Your business data and quotes are stored under access rules that only let your own signed-in account read or write them. Payment card details never reach our servers — they go directly to Stripe. Keys used to access third-party AI services are kept in a secrets manager and never exposed to your browser. No method of transmission or storage is 100% secure, but we take reasonable technical measures to protect your data.

9. Children's privacy

Speak to Quote is a business tool intended for tradespeople and is not directed at, or knowingly used by, children. We don't knowingly collect data from anyone under 16.

10. Changes to this policy

We may update this policy from time to time, for example as the app's features change. If we make material changes, we'll update the "Last updated" date above, and where appropriate let you know in the app.
